Privacy Policy
This Privacy Policy explains how wits collects, uses, shares, retains, and protects information when you use the app and its connected capture features.
wits is a private workspace for your own thoughts. It does not currently include public profiles, social feeds, ads, or cross-app ad tracking.
Information you provide
- Account information from Apple sign-in, such as your Apple-provided identifier, email address, and name when Apple provides them.
- Profile and preference information, such as display name fields and onboarding status.
- Voice captures, recording metadata, transcripts, notes, reminders, weekly reflections, folders, tags, due dates, repeat rules, priority, completion status, reminder details, and source transcripts.
- Apple Reminders that you choose to import, including reminder text, details, due date, creation date, source identifier, and time zone.
- Subscription status, purchase entitlement, and restore-purchase information needed to provide wits+.
- Feedback or support information you choose to send through external support channels.
Information from your device
- Microphone permission is used to record voice captures on iPhone and Apple Watch.
- Notification permission and push tokens are used to schedule and deliver reminder, reflection, and processing notifications.
- Reminders permission is used only when you open the import flow and choose Apple Reminders lists to import.
- Local authentication, such as Face ID, Touch ID, or device passcode, is used on device to unlock locked notes for the current app session.
- Optional Apple Watch, Action Button, and Shortcuts integrations may use local device settings and launch metadata to start captures, keep Watch capture available, and upload pending Watch recordings.
- Diagnostic information, such as crash reports, app version, device model, OS version, and performance signals, may be used to detect and fix errors.
How wits uses information
- To create and manage your account and keep your workspace scoped to your signed-in identity.
- To upload recordings, process them into transcripts, notes, reminders, and updates, and delete temporary audio after successful processing.
- To show, search, edit, organize, complete, delete, and recover your notes, folders, reminders, daily patterns, and weekly reflections.
- To schedule, update, cancel, and send reminder notifications.
- To import Apple Reminders only when you grant permission and choose the lists to import.
- To manage wits+ subscriptions, restore purchases, enforce account limits, and provide subscription support.
- To understand which features are used, how people find wits, and where the app or website needs improvement.
- To detect errors, secure the service, prevent abuse, respond to requests, and comply with law.
Usage analytics
wits uses PostHog, a product analytics provider, to understand how the iPhone app, the wits web app, and witsnotes.com are used.
- Usage events, such as the screens and pages you view, when you open them, the site that referred you, and on witsnotes.com the links and buttons you click.
- Product events, such as making a capture, completing a reminder, adding a list item, sharing, joining a household, opening a notification, viewing or buying wits+, and signing in, with counts and settings like the capture source, its length, or how many items it created. Some of these events are sent from wits servers when the action happens, so they are counted whichever device you used.
- Technical information, such as app version, browser, device type, operating system, screen size, and an approximate location derived from your IP address.
- A random analytics identifier for your device or browser and, once you sign in, your wits account identifier, so activity across the iPhone app and web can be counted as one person.
- Errors that occur in the web app or website, so they can be fixed.
- Analytics does not include the content of your recordings, transcripts, notes, lists, or reminders. Share, household, and invite link tokens and sign-in tokens are removed before events are sent, and wits does not record screen replays of your sessions.
- On the web, PostHog stores its identifier in a first-party cookie and browser storage. You can clear them or block them in your browser settings without losing access to wits.
AI processing
wits asks for your permission in the app before it sends any of your data to an AI service, and sends nothing to one until you allow it. You can turn AI processing off or on at any time in Settings, under AI processing. If it is off, you can still type notes, lists, and reminders, but voice capture, Ask, daily patterns, weekly reflections, and memory search are unavailable.
When AI processing is on, wits sends the following to an AI provider, only to provide these features to you:
- Voice recording audio and its transcript, to turn a capture into notes, lists, reminders, and updates to existing items.
- Workspace context that helps sort a capture, such as active reminders, notes and lists the capture might update, note folders, the target note when you continue a note, timestamps, and your time zone.
- Your Ask questions, recent Ask messages, and the notes, lists, and reminders found to answer them.
- The text of your notes, lists, and reminders, to build the search index Ask uses (wits+ or your own API key).
- Recent captures and items, to write daily patterns and weekly reflections (wits+ or your own API key).
Who processes AI requests
Google LLC processes this data for wits through the Gemini API. If you add your own API key in Settings, under AI provider, the data is sent to the provider you chose instead: Google (Gemini API) or OpenAI (OpenAI API). Your key is stored encrypted and used only for your account.
These providers receive the data to perform the processing wits requests and return the result. wits uses them under their API terms, which limit how they can use and retain the data and require them to protect it. wits does not sell this data, share it for advertising, or use it to build advertising profiles.
Analytics never includes the content of your recordings, transcripts, notes, lists, or reminders.
Service providers and sharing
wits shares information with service providers only as needed to operate the app, including providers for sign-in (Apple), cloud storage and database hosting (Convex), AI transcription and organization (Google, or OpenAI when you use your own OpenAI key, only with your permission), push notification delivery, app distribution, subscription management (RevenueCat), product analytics (PostHog), diagnostics (Sentry), security, and support.
wits may disclose information if required by law, to protect rights and safety, to investigate abuse, or as part of a merger, acquisition, financing, reorganization, or transfer of the service, subject to this policy or notice where required.
wits does not sell personal information and does not share personal information for cross-context behavioral advertising based on the current mobile app implementation.
Retention and deletion
Audio files are temporary for successful captures: after processing succeeds, wits deletes the stored audio file and keeps the transcript and generated workspace items for your review. If processing fails, audio or failure metadata may remain until cleanup, deletion, or account deletion.
Notes, reminders, weekly reflections, folders, transcripts, daily patterns, preferences, imported reminders, notification data, subscription entitlement records, diagnostic records, usage analytics, and auth records are kept while your account is active or as needed to provide the service. You can delete individual notes and reminders in the app.
Deleting your account from Settings is designed to remove your app data, recordings, notes, reminders, weekly reflections, folders, daily patterns, notification records, Watch capture setup data, and sign-in data, subject to technical limits, backup retention, legal obligations, fraud prevention, dispute resolution, and security needs.
Your choices
- You can grant, deny, or revoke iOS permissions for microphone, notifications, Reminders, and local authentication in iOS Settings.
- You can choose which Apple Reminders lists to import.
- You can allow or stop AI processing at any time in Settings, under AI processing.
- You can edit or delete notes and reminders, sign out, or delete your account from Settings.
- You can stop using Apple Watch capture or Action Button launch paths by removing their setup or revoking app access where iOS allows.
Privacy rights
Depending on where you live, you may have rights to know, access, delete, correct, export, restrict, or object to certain processing of your personal information. California residents may also have rights to know, delete, correct, opt out of sale or sharing, limit use of sensitive personal information, and be free from discrimination for exercising privacy rights.
Because wits does not currently sell personal information or share it for cross-context behavioral advertising, there is no sale or sharing opt-out to process in the current mobile app. To exercise available rights, delete your account in Settings or use the support contact listed on the wits App Store product page.
Sensitive information
Your recordings, notes, reminders, weekly reflections, and imported reminders may include sensitive personal information if you choose to include it. wits uses that information to provide requested app features and does not use it to infer characteristics for advertising or unrelated profiling.
Security
wits uses authenticated account access, service-provider safeguards, iOS permission prompts, local protected storage for selected device settings, and deletion flows to protect data. No system is perfectly secure.
Locked notes are protected in the interface by local device authentication for the current session. In the current implementation, locked notes are not end-to-end encrypted.
Children
wits is not directed to children under 13 and should not be used by children under 13. If you believe a child under 13 has provided personal information to wits, contact us through the support contact listed on the App Store product page so we can take appropriate steps.
International processing
wits and its providers may process and store information in the United States and other locations where they operate. If you use wits from outside the United States, you understand that your information may be processed in countries with different data protection laws.
Changes
We may update this Privacy Policy as the app, providers, or law changes. If changes are material, we will take reasonable steps to notify you. The effective date shows when this policy last changed.
Contact
For privacy questions or requests, use the support contact listed on the wits App Store product page. You can also delete your account directly from Settings.
